Woods & Co have partnered with an established and highly regarded residential landscaping business with close to three decades of success, in the search for a
Office Manager to join their team. Operating across Melbourne's Inner East, South East, Bayside and Mornington Peninsula, this business delivers high end landscape construction and maintenance projects, backed by a strong pipeline of work and a tight knit, passionate team.
Based in modern offices in the Bayside area, this a full time opportunity suited to someone who thrives in a tight knit team and enjoys a hands on, varied role.
About the RoleReporting directly the business owner, you will play a key role in keeping businesses running smoothly across administration, coordination and operational support. This is a diverse position where no two days are the same.
Key Responsibilities:
- Providing high level administrative and PA support to the business owner
- Assisting with tender submissions, including coordination with clients and suppliers
- Preparing and issuing contracts, variations and warranty documentation
- Managing day to day office operations including calls, emails, diaries and front of house duties
- Liaising with internal teams across construction, maintenance and accounts
- Supporting recruitment processes incl job ads, interview coordination and onboarding
- Maintaining client files, project documentation and handover packs
- Assisting with OHS documentation incl SWMS, JSAs and incident reporting
- Coordinating staff events and internal meetings - minute taking
- General ad hoc administration as required
About YouTo be successful in this role, you will be an organised and proactive professional who enjoys working in a fast paced and dynamic environment.
You will bring:
- Strong organisational and communication skills
- Proven experience as a Office Coordinator/Manager (within the construction industry is preferred)
- A high level of attention to detail and accuracy
- Experience across Microsoft Office
- A proactive, adaptable approach and willingness to take ownership
- Strong stakeholder management skills
- The ability to work both autonomously and as part of a team
Experience within construction or trades environments will be highly regarded, as will exposure to industry software such as Buildxact. Social media or market experience is a bonus.
